SUMMARY
Hospitality & Workplace Services Coordinator
This position is an integral part of our Hospitality & Workplace Services Team, a pivotal force in assisting employees of the firm with their hoteling, meeting and hospitality needs.
Coordinates critical operations required to maintain a functional, efficient office facility.
Responsibilities include but are not limited to assisting in all aspects of customer service while presenting a professional and positive impression of the firm
Supports various hospitality & workplace functions at client sites making certain that consistent, quality, and cost effective services are provided.
Arranges and coordinates facilities and hospitality services for hoteling staff.
Direct responsibility for day to day related office, hospitality, meeting or hoteling services & programs
Monitors and evaluates performance of workplace, hospitality, meeting and hoteling services staff. Helps identify opportunities for staff development and cross training.
Responsible for maintaining firm standards in hospitality and workplace functions.
Makes process improvement and expense management recommendations.
Responsible for compliance with firm's procurement policies as Information technology relates to hospitality and workplace functions.
Receive, log, and confirm hoteling and meeting reservations
Receive conference room requests (food, A/V, special requests, etc.), confirms reservations and set-up. May coordinate meals for meetings.
Responsible for appropriate hoteling locker/file drawer management.
Coordinates with vendors including caterers, furniture rental, audio & visual (A/V) equipment rental and repair, etc. to satisfy hoteling and conference room needs.
Reviews and prepares invoices for approval and payment processing.
Produces various utilization reports for management review.
Updates local telephone directories.
supervises facilities work order system and manages service call responsiveness.
Assigns work requests to maintenance services staff.
Liaisons with building management and outside vendors on minor issues/projects related to HVAC, construction, moving, etc.
May assist in the development of the annual budget and that the department operates within its budgetary guidelines.
May coordinate minor construction (including connected furniture, technology installations, vending services, copiers, boxes, equipment etc.) and configuration projects. May participate in larger projects with Americas Real Estate Services.
May manage and maintain floor plans and construction drawings including built drawings of the new construction and/or modifications
Strong customer service and communication expertise
capability to manage multiple tasks in a fast-paced environment Strong organizational expertise
capability to lgain and facilitate with the client Reserve and client Workplace system tools is required
Has a fundamental and strategic knowledge of workplace, hospitality, meeting and hoteling services and can independently manage and make recommendations to area management In depth knowledge of systems, tools and procedures
related to office maintenance, hospitality, meeting and hoteling services
Microsoft office practice, Lotus notes preferred
3-5 Years prior practice required Customer service practice
